Under the supervision of the Vice President of Construction, the Project Coordinator will be responsible for coordinating, planning, and managing projects in accordance with the needs of the assigned project manager.

Role:

  • Ensure coordination of construction work
  • Ensure quality control on site
  • Facilitate communication among project stakeholders
  • Support the project manager and project director
  • Assist site teams in coordinating their work
  • Ensure that deadlines are met and report any delays to project managers
  • Keep the director and project manager informed of any significant issues
  • Provide strong leadership to subcontractors and professionals during construction

Responsibilities:

  • Conduct site visits for bidding and quality control purposes
  • Contact subcontractors to obtain bids as needed
  • Issue directives to professionals and subcontractors
  • Prepare purchase orders and change orders
  • Analyze, distribute, and track Requests for Information (RFIs) to professionals and their responses to subcontractors
  • Analyze, distribute, and track Shop Drawings (SDs) to professionals and their responses to subcontractors
  • Analyze, distribute, and track directives to subcontractors
  • Develop, communicate, and monitor 3-week construction schedules
  • Assist the project manager in updating the master schedule
  • Update Excel files (subcontractor list, stakeholder list, estimate template, etc.)
  • Attend kickoff meetings and coordination meetings
  • Write and distribute meeting minutes
  • Organize and file all project documentation
  • Assist in preparing payment requests with the project manager
  • Process material and labor invoices
  • Conduct site visits to monitor progress
  • Document deficiencies on the site throughout the project and ensure timely and adequate correction
  • Compile and organize project closeout documents
  • Request provisional and final work acceptance certificates from professionals
  • Perform any other related tasks

Qualifications for Potential Candidates:

  • Education: Technical diploma in architecture or civil engineering and/or a bachelor's degree in engineering or architecture
  • Required experience: 1 to 3 years in construction in a similar position
  • Software proficiency: Microsoft Office (Outlook, Word, Excel), MS Project, Autocad, Build/Plangrid, etc.
